Privacy notice
How CHAPTER collects, uses and protects personal information across our website and platform.
Last updated September 2026
This notice explains how CHAPTER collects, uses and protects personal information when you use our website at chapterapp.uk or the CHAPTER platform.
CHAPTER is the data controller for information collected through this website. Where a wedding venue uses CHAPTER to manage weddings, that venue is generally the data controller for the wedding information held in the platform, and CHAPTER acts as their data processor.
Who we are
CHAPTER, [registered office address], [company registration number].
For any question about this notice or about your personal information, contact us at hello@chapterapp.uk.
Information we collect
Information you give us. When you request a demo or contact us, we collect your name, the venue you represent, your email address and anything else you choose to include in your message.
Information collected automatically. We do not add analytics, advertising or tracking of any kind to this website. Nothing we have put on it measures your visit, follows you to other websites or builds a profile of you.
Our hosting and content delivery provider keeps standard records of requests made to the site. These include the IP address a request came from, the page requested, the time of the request and basic browser information, and our provider produces aggregate traffic statistics from them. They exist so the site can be served, kept available and protected from abuse, and we rely on our legitimate interest in doing that. We do not use them to identify you or to build a profile of you.
Information held in the platform. Venues, couples and suppliers using CHAPTER enter information relating to the weddings they are working on. This may include names, contact details, guest information and dietary or accessibility requirements. This information is held on behalf of the venue that controls it.
Why we use it
We use personal information to:
- respond to demo requests and enquiries
- provide, maintain and support the CHAPTER platform
- communicate about the service, including changes that affect you
- understand how our website is used, so we can improve it
- meet our legal and regulatory obligations
Our lawful bases
We rely on legitimate interests to respond to enquiries about our product and to keep our website secure and working well. We rely on contract to provide the platform to venues who have agreed terms with us. We rely on legal obligation where the law requires us to retain or disclose information.
Where we send marketing communications, we do so only where we are permitted to, and every message includes a way to stop receiving them.
Sharing
We do not sell personal information.
We share it with service providers who help us operate (hosting, infrastructure and email delivery), and only to the extent needed to provide those services. Each is bound by contractual obligations to protect it.
We may disclose information where we are legally required to, or to establish, exercise or defend legal claims.
Where information is held
Our website is hosted on Cloudflare’s global network. Some of our service providers may process information outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or International Data Transfer Agreements.
How long we keep it
We keep demo enquiries for as long as needed to follow up, and for a reasonable period afterwards for our records. The request records described above are kept for [server log retention period]. Platform information is retained in line with the agreement we hold with the venue controlling it. When information is no longer needed, we delete it or render it anonymous.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is inaccurate or incomplete
- ask us to delete information, in certain circumstances
- ask us to restrict how we use it, in certain circumstances
- object to processing carried out on the basis of legitimate interests
- ask us to transfer information to another provider, in certain circumstances
To exercise any of these, contact hello@chapterapp.uk. If the information sits in the platform and is controlled by a venue, we will point you to that venue or pass your request to them.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Cookies
Our website does not set cookies. There are no advertising cookies, no tracking cookies and no analytics, and nothing is stored on your device to recognise you between visits.
Security
We take appropriate technical and organisational measures to protect personal information against unauthorised access, loss or misuse. No system is perfectly secure, but we treat wedding information as genuinely sensitive and design accordingly.
Changes
We may update this notice from time to time. The date at the top shows when it was last revised. Material changes will be brought to your attention.
